Temporary Executive Assistant to the President
Full Time/ Non-Exempt
Temp, FT Executive Assistant position reports to the President of IAF .Works closely w/Dir. of Bus. Ops & Exec Assist., Bus Ops in IAF’s exec. office, and w/ members of the IAF Boards of Governors and Trustees.
•Perform administrative duties for the president, including, but not limited to, managing the president’s appointment calendar; handling all travel and travel-related appointments (domestic and international); arranging logistics for meetings/events; recording meeting minutes; arranging guest/VIP accommodations; preparing and distributing IAF board materials; etc.
•Handle a variety of confidential and time-sensitive material with appropriate discretion and alacrity.
•Possess strong interpersonal skills, working effectively with all levels of IAF management and staff, IAA deans, faculty and students, IASP staff and participants, IAF donors and VIPs, and IAF Board Members.
•Ability to multi-task and work in a fast-paced, deadline-oriented atmosphere with speed, accuracy, and high level of attention to detail.
Essential Duties
•Prepares and distributes IAF Board meeting agenda books, attends quarterly Board meetings and transcribes minutes.  Works with the Director of Special Events in planning of these meetings.
•Prepares and distributes Executive Committee meeting materials, plans and attends quarterly (or more) Executive Committee meetings, and records and distributes minutes.
•Plans and attends weekly Executive Council meetings, preparing and distributing written information. Records and distributes minutes.
•Schedules donor, prospective-donor, and fundraising appointments with the president.
•Maintains calendar, and arranges travel schedule and reservations.
•Schedules and attends monthly board Advancement meetings.
•Assists with planning and scheduling of parent, student, and alumni receptions in the United States and Europe.
•Assists the president with follow up calls to prospective donors.
•Maintains dues payments and information updates for IAF memberships in various arts and educational organizations, e.g., NAIS, CAIS, WASC, and TABS.
•Compiles and creates statistical reports, including the CDE Private Affidavit Report.
•Composes routine and advanced correspondence including letters, memos, emails, and reports.
•Prepares Check Requisitions as needed.  Reconciles and submits Expense Reports.
•Makes copies of correspondence, budgets, or other printed material/media as needed, and ensures proper distribution.
•Maintains excellent order and access to files: electronic, paper, for correspondence, archives and other records and documents.
•Handles all telephone inquiries, screens the president’s telephone calls, and coordinates the use of IAF teleconference account.
•Greets visitors, ascertains nature of business, and directs them to appropriate IAF personnel.
To be qualified to apply for this position the candidate must have:
•two or more years’ experience as an executive administrative assistant;
•and/or a minimum of ten years’ successful administrative assistant experience, with an increasing progression of responsibilities;
•experience in an academic environment is preferred and, must possess
•proficient knowledge of MS Word, Excel, and PowerPoint and Google Platform of programs for email, calendaring, contact and distribution lists, and operating on the Google Drive, cloud-based document and file sharing platform.
•Type 50+ wpm
•the ability to read and interpret documents such as safety rules, procedure manuals, and operating and maintenance instructions;
•the ability to compose routine memo, reports, and correspondence;
•the ability to speak effectively before groups of IAF employees, constituents, donors, and VIPs;
•excellent interpersonal skills on telephone and in person;
•ability to multi-task; and the
•ability to access stairs in buildings, and traverse uneven terrain on campus.
Candidate must be able
•to apply common sense understanding, with minimal oversight;
•to carry out instructions furnished in written, oral, or diagram form;
•to deal with ambiguity – handle problems and stress caused  in unanticipated situations involving   multiple variables;
•to prove their skills  in writing business correspondence, composing, and proofreading;
•to demonstrate strong oral, written communication, and grammatical skills; and to exercise independent judgment with limited oversight.
