I was very surprised to read about the new Art Alliance board authorizing all five officers to sign checks. The treasurer should not be signing checks if they are “keeping the books.” That way the treasurer is the oversight for checks being written.
The person doing the books should not be the person signing the checks unless all checks require two signatures (like PTA did). This would have prevented the quilters’ club from having a problem last year. Less than $500 checks can add up to a lot of money.
Another oversight is having the board approve the monthly bank reconciliation to the expense report so all members can see the expenditures each month in the monthly minutes.
I suggest groups look at the PTA as it has many valid procedures to protect money and expenditures, which are all online. Let’s prevent temptation and possible mistakes like double paying.
